How to Invite Account Designees

Note: The information on this page does not apply to you if you are a Medicare beneficiary who has entered this website through your Medicare.gov account.

At the organization's discretion, an Account Manager (AM) for the WCMSAP account may invite other individuals to register as users of the WCMSAP associated with the account, known as Account Designees (ADs). ADs assist the AM with the case submission process. ADs may be employees or agents of the organization. The number of ADs associated with one WCMSAP account is dependent on the account type. ADs can only be established for Corporate and Representative account types. Corporate accounts may have up to 200 ADs. Representative accounts may have up to five.

The Account Designee:

  • Must register on the WCMSAP and obtain a login ID and password.
  • Can be associated with multiple WCMSAP accounts, but only if invited by the AM for those accounts.
  • Can change own personal information on the WCMSAP.
  • Cannot be an Account Representative for any account.
  • Cannot be the AM for the same account.
  • Cannot invite other users to the WCMSAP account.
  • Cannot update WCMSAP account information.
  • Can be changed to an AM on an existing account.
  • Can submit new cases for a given WCMSAP account.
  • Can perform case lookups and view cases that are associated with their login ID.
  • Can update (append documentation to) a case they are associated with.
  • Can replace documentation for cases they are associated with.
  • Can access alerts for cases they are associated with.
  • Can update work-in-progress case information for cases they have created or are associated with, as assigned by the AM.

Each user of the WCMSAP has only one login ID and password per role. They may be associated with multiple WCMSAP accounts using those credentials.

To invite an AD, the AM assigned to the WCMSAP account must take the following steps:

  1. Complete Step 2, Account Setup for the WCMSAP account.
  2. Return to the WCMSAP Welcome page and log in using the user’s login ID and password created during Account Setup.
  3. Select Designee Maintenance from the Account Settings box.
  4. Follow the instructions for the Add a Designee process. In this process, you will need to provide the email address and name for the AD. This must be an email address associated with an individual person, not a distribution list or generic address.

    The AD will receive an email invitation from the BCRC with instructions on how to come to the WCMSAP and create a login ID and password. The email will contain a token link to the WCMSAP that the AD must follow to obtain a login ID. The AD must perform this step.

    If the AD already has a WCMSAP login ID, then the AD will automatically be associated with this WCMSAP account after the Account Manager completes the invitation, and will see the Account ID on his Account Listing page the next time the AD logs in.

    Subsequent invitation emails will not contain the token link if the AD already has a login ID. The AD will only need to create a login ID once on the WCMSAP.
  5. Repeat these steps for each WCMSAP account the AD is to be associated with.

Note: If an individual is invited to become an AD more than once before the user has completed the AD registration process and obtained a login ID, the subsequent invitation emails generated will contain the same token link sent with the original invitation. This link will take the AD to a page that displays the information from the original (first) invitation.

Only one, unique token link is generated per user for the AD registration process. The AD may use the token link in any of these emails to register for a login ID. Once the AD has completed the AD registration process and obtained a login ID, the token link will no longer be valid. The token link also becomes inactive after 30 days of non-use.

We strongly encourage users to register as soon as possible after receiving the first invitation email to avoid confusion.
